AI Won’t Hire the Right Person. But It Can Help You Find Them Faster – Meredith Rafter

The technology is changing quickly. The cost of a bad hire hasn’t changed at all.

Every week, another AI recruiting tool promises to transform your hiring. Faster screening. Smarter job posts. Automated scheduling. Chatbots that keep candidates warm while you’re running your business. Some of it is genuinely useful. All of it is being adopted rapidly, and small to mid-size businesses are right in the middle of it.

We work with growing companies every day, and here’s what we’re actually seeing: AI is making parts of recruiting faster. It is not making recruiting easier. And for businesses where one wrong hire can cost $30,000 or more and months of lost momentum, faster without smarter is not the win it appears to be.

“AI can speed up the search. It cannot tell you whether someone will thrive in your culture, lead your team through a hard season, or stay.”

Where AI Helps and Where It Doesn’t

Job descriptions get better when the role is clear. Writing tools can help craft cleaner, more compelling postings. But a well written job description built on a poorly defined role will attract the wrong people more efficiently. Before the words, you need clarity on what success actually looks like in that seat. That part is still very human work.

Resume screening is faster. Culture fit is not. AI screening tools can surface candidates who match a skills profile in minutes. What they cannot do is evaluate how someone thinks under pressure, leads through ambiguity, or fits the unwritten dynamics of your team.

We’ve seen plenty of technically qualified candidates who were entirely wrong for the organization, and AI would have advanced every one of them.

Scheduling and logistics are genuinely improved. This is where AI earns its keep. Automated scheduling, status updates, and candidate communication remove real friction from the process and help smaller companies look far more polished and responsive to candidates. We encourage our clients to take advantage of these tools.

Proactive sourcing still requires a human strategy. AI can scan databases and suggest candidates. It cannot build relationships with high performers who aren’t actively looking, understand the nuance of your Employer Value Proposition, or have the kind of conversation that moves a passive candidate to seriously consider your opportunity. The best hires rarely come from an algorithm.

The businesses we see struggling most with hiring are often the ones who have invested in tools but not in strategy.

They’re moving faster through a process that was never fully defined and ending up with more hires that don’t stick.

AI is a legitimate asset in recruiting. We use it ourselves. But it works best as an accelerant on top of a sound strategy, not as a substitute for one.

Knowing your culture, defining what great looks like, proactively sourcing people who aren’t on the job boards, and evaluating fit beyond the resume are the things that determine whether a hire succeeds or fails a year from now.

The companies winning at recruiting aren’t just moving faster. They’re moving with intention, and they have the right partner helping them do it.
